Bend Quality Maintenance – Terms & Conditions of Service

Welcome to Bend Quality Maintenance LLC (“BQM”). These Terms & Conditions apply to all cleaning and property-care services provided by BQM, including residential cleaning, commercial janitorial, construction clean-up, and vacation rental turnover services. By scheduling, approving, or paying for any BQM service, you agree to the terms below.

1. Service Scope

Each service is performed according to the agreed scope and estimate at the time of booking or quoting. BQM may provide task lists and photo verification to ensure work meets our internal quality standards. Requests beyond the original scope (e.g., heavy buildup removal, window washing, carpet/extraction, specialty restoration) may require a revised quote or additional charges.

2. Quality Guarantee

Every service is backed by the BQM Quality Guarantee: if a listed area was missed or not completed to reasonable expectations, notify us within 24 hours and we will return to correct it at no additional cost. The guarantee does not cover pre-existing damage, permanent stains, or items outside the agreed scope.

3. Access & Property Entry

Clients must ensure safe, timely access during the scheduled window. If our crew cannot enter due to locks, gates, alarms, or access issues, a lockout fee up to 50% of the service total may apply. Recurring clients may provide codes or lockbox access.

4. Payment Terms

  • Services are billed at the rates confirmed in your quote or invoice.
  • Payment is due upon completion unless otherwise arranged in writing.
  • Accepted forms: ACH, debit/credit, or invoiced billing via QuickBooks Online / Novo.
  • Invoices past 14 days may incur a 3% weekly late fee.
  • Returned payments or chargebacks may suspend future services until resolved.

5. Cancellation & Rescheduling

Residential / One-Time / Vacation-Rental Clients

  • 24-hour notice required for cancellations or reschedules.
  • Same-day cancellations or no-shows may be charged 50% of the service total.
  • Vacation-rental turnovers cancelled within 12 hours of start time are billed in full due to pre-assigned crews and travel time.

Commercial & Contracted Clients

  • Ongoing janitorial or maintenance agreements require 30 days’ written notice to modify or terminate recurring service.
  • Short-term or trial contracts may specify alternate notice terms in writing.
  • Early termination without proper notice will be invoiced for the remaining 30-day period or the minimum service commitment, as applicable.

6. Safety & Liability

Our team follows OSHA-aligned safety and sanitation practices. BQM is insured and operates under Oregon business and labor compliance. We are not liable for: (a) pre-existing wear, damage, or deterioration; (b) fragile, unsecured, or improperly mounted items; (c) failures caused by faulty plumbing, wiring, appliances, or equipment beyond our control. Please alert us to delicate finishes or access hazards before service.

7. Supplies & Products

BQM uses professional-grade cleaning agents and microfiber systems. Clients may request eco-friendly, scent-free, or client-supplied products at scheduling. For safety reasons, BQM may decline the use of unapproved chemicals.

8. Vacation Rental & Host Services

  • Linen turnover, supply restocks, and amenity replenishment are completed per the selected plan.
  • BQM is not responsible for missing guest items or owner inventory unless documented in pre-service notes.
  • Any discovered damages or issues are photographed and reported promptly.
  • Supply restock items are billed at current retail or package rates.

9. Move-Out / Deep Cleaning Policy

Deep cleans include additional time for detailing and buildup removal. While we strive for exceptional results, removal of long-term stains, mineral deposits, or wear is not guaranteed. Appliance interiors are cleaned within reason; dismantling or restoration requires prior approval and may be quoted separately.

10. Weather, Delays & Force Majeure

BQM will make every reasonable effort to perform services as scheduled. We are not liable for delays or cancellations due to weather, illness, road closures, power outages, or other events beyond our control. Affected services will be rescheduled promptly without penalty.

11. Photos & Documentation

Pre- and post-service photos may be taken strictly for internal quality assurance and client transparency. Images are stored securely and never shared publicly without client consent.

13. Acceptance

By scheduling, approving, or paying for any service, the client acknowledges full acceptance of these Terms & Conditions and agrees to comply with the policies outlined above.
